Simple updates go a long way.

Make sure your e-mail ends with a lasting impression—through a professional signature line.

Stick to the basics. Always include your full name, title, company name, phone number, e-mail address, website address and your certification designations. While some debate whether to include your e-mail address, I’ve found that when I want to send someone’s contact information, I copy and forward their signature line. If your e-mail address isn’t in your signature line, your potential lead won’t have access to a vital point of contact for busy clients who don’t want to spend time looking for an e-mail address or picking up the phone.

Keep your font simple and easy to read. Sometimes it’s fun using pretty, fancy fonts. And sometimes, those fonts are hard for some to read. Keeping fonts simple and clean gives clients the visual clue that you are a professional who is easy to work with and not too complex when they need information to book their travel. Simple fonts don’t distract the reader from what’s being conveyed.

Always include your signature line—in all your e-mail. This shows your level of professionalism. Remember to update your signature line in your mobile devices as well. Customers want to know the e-mail is coming from a focused professional, and having a signature line in each communication shows the sender is on top of his or her game and pays attention to details. Just as consumers want their travel consultant to pay attention to details for their vacation.

Include your signature line, with all your contact details, when you reply to e-mail. It’s frustrating for your clients to scroll through a string of responses to find your phone number. Keep your important contact information accessible for your clients, at all times. Including it in your reply signature line is a great start.

Don’t put too much information in your signature line. Try to keep you signature line to three or four lines of text. You don’t want it to look cluttered and unprofessional. When you include too much detail, your important information may get lost and it could give the impression—the wrong impression—that you are unorganized.

To help your signature line “pop” a little, include images. Some use a professional headshot image to help give a personal touch. You might use your company logo and your social media icons to help direct people to your various sites. Do not place too many images: You want to keep your signature line simple. Bear in mind, depending on the recipients’ e-mail server, your images may not show or are placed as attachments.
